Sharing Options

Email Directly

Send from BuildVision:

Open Your Quote

Navigate to the quote you want to send.

Click Send

Click the Send button.

Enter Recipients

Add client email addresses:

  • Primary contact
  • CC others (optional)
  • BCC yourself (optional)

Add Message

Write a personal note:

  • Brief introduction
  • Key highlights
  • Call to action

Send

Quote emails to client with link.

Share Link

Get a link to share anywhere:

  1. Open quote
  2. Click ShareCopy Link
  3. Send via your own email, text, etc.

Download PDF

Create a PDF file:

  1. Open quote
  2. Click ExportPDF
  3. PDF downloads to your device
  4. Attach to any email or print

Print

Physical copy:

  1. Open quote
  2. Click Print
  3. Adjust settings
  4. Print

When clients open the link:

  • Accept/Decline buttons

Client Actions

Clients can:

  • View - Read the full quote
  • Download - Get PDF copy
  • Accept - Approve and sign
  • Decline - Reject with reason
  • Ask Questions - Send message

Online Acceptance

Online acceptance creates a record of approval - useful for contracts and documentation.

How It Works

  1. Client clicks Accept Quote
  2. Reviews terms
  3. Signs electronically (typed name)
  4. Acceptance recorded

What You See

After acceptance:

  • Quote status → "Accepted"
  • Timestamp recorded
  • Signature captured
  • Notification sent to you

Declined Quotes

If client declines:

  • Status → "Rejected"
  • Reason recorded (optional)
  • You can revise and resend

Password Protection

For sensitive quotes:

  1. Click Share Settings
  2. Enable Password Protection
  3. Set a password
  4. Share password separately

Client must enter password to view.

Link Expiration

Control how long links work:

Tracking

View Status

See if clients opened your quote:

Quote Revisions

Sending Updates

If you need to revise:

  1. Open quote
  2. Make changes
  3. Save as new version or update existing
  4. Resend to client

Version History

Track all versions:

  • V1, V2, V3...
  • See what changed
  • Client sees current version

Revision Notes

Add notes explaining changes:

  • "Updated pricing per our call"
  • "Added additional scope items"
  • "Removed optional items"

Email Templates

Default Template

BuildVision sends with standard messaging.

Custom Templates

Create your own:

  1. Go to SettingsEmail Templates
  2. Create quote email template
  3. Use variables:
    • {client_name}
    • {quote_total}
    • {valid_date}

Troubleshooting

Q: Client says link doesn't work

  • Check link hasn't expired
  • Verify password (if protected)
  • Resend fresh link
  • Try PDF instead

Q: Quote looks different for client

  • Check browser compatibility
  • Client may be on mobile
  • PDF ensures consistent appearance

Q: Client accepted but I wasn't notified

  • Check notification settings
  • Look in email spam folder
  • View quote status directly
