Issued Invoices

Send invoices to your clients and track payments.

Creating an Invoice

Go to Finances

Navigate to FinancesIssued Invoices.

Click New Invoice

Click + New Invoice.

Enter Client Info

  • Client name
  • Client email
  • Billing address

Add Line Items

For each charge:

  • Description
  • Quantity
  • Unit price
  • Tax (if applicable)

Set Terms

  • Due date
  • Payment terms (Net 30, Due on receipt, etc.)
  • Notes or special instructions

Save or Send

  • Save Draft - Finish later
  • Send - Email to client

Invoice Statuses

Sending Invoices

Email

Send directly from BuildVision:

  1. Open invoice
  2. Click Send
  3. Verify email address
  4. Add message (optional)
  5. Send

Client receives email with invoice link.

Share Link

Get a link to share:

  1. Click ShareCopy Link
  2. Send via any method
  3. Client can view and pay

PDF Download

Create PDF for manual sending:

  1. Click ExportPDF
  2. Download
  3. Attach to your own email

Recording Payments

When client pays:

Open the Invoice

Find and click the invoice.

Click Record Payment

Click Record Payment.

Enter Details

  • Amount received
  • Payment date
  • Payment method (check, credit, ACH)
  • Reference (check number, transaction ID)

Save

Invoice updated with payment.

Partial Payments

Record each payment as received:

  • Running balance shows remaining
  • Marked "Paid" when fully received

Progress Billing

For long projects, bill in stages:

Setting Up Progress Billing

  1. Create invoice for first billing
  2. Reference phase/milestone
  3. Send when milestone reached
  4. Repeat for each phase

Creating Templates

Save common invoice formats:

  1. Create an invoice
  2. Click Save as Template
  3. Name the template
  4. Reuse on future invoices

Template Suggestions

  • Progress billing - Staged payments
  • Time & materials - Hourly plus costs
  • Fixed price - Lump sum
  • Maintenance - Recurring service

From Quotes

Convert accepted quotes to invoices:

  1. Open accepted quote
  2. Click Create Invoice
  3. Choose items to invoice
  4. Review and send

Line items transfer automatically.

Link invoices to original quotes for tracking. The system shows what's been invoiced vs. what remains.

Automatic Reminders

Enable in settings:

  • Days before due
  • Days after due
  • Frequency

Manual Reminders

  1. Open overdue invoice
  2. Click Send Reminder
  3. Customize message
  4. Send

Reports

Revenue Reports

  • Total invoiced by period
  • By project
  • By client
  • Payment trends

Aging Report

Outstanding invoices by age:

  • Not yet due
  • 1-30 days overdue
  • 31-60 days overdue
  • 60+ days overdue

Client Statements

Generate statement for a client:

  • All invoices
  • Payment history
  • Current balance
