Stages & Tasks

Break your project into manageable phases and track progress.

Understanding Stages

Stages are major phases of your project. Think of them as milestones:

Example stages for a kitchen remodel:

  1. Demo & Prep
  2. Rough-In (Plumbing, Electric)
  3. Drywall & Finishing
  4. Cabinets & Counters
  5. Fixtures & Appliances
  6. Punch List & Closeout

Each stage contains tasks - the individual work items to complete.

Creating Stages

Go to Stages Tab

In your project, click the Stages tab.

Add a Stage

Click + Add Stage and enter:

  • Stage Name - Clear description (e.g., "Rough-In")
  • Start Date - When this phase begins
  • End Date - Target completion
  • Description - Optional notes

Order Your Stages

Drag stages to arrange in order. The order affects:

  • Timeline display
  • Progress calculations
  • Gantt chart layout

Managing Tasks

Tasks are the work items within each stage.

Creating Tasks

  1. Click + Add Task within a stage
  2. Fill in details:

Task Statuses

Update status by clicking the task or dragging in Kanban view.

Task Assignment

Assign tasks to team members:

  • They receive notifications
  • Tasks appear on their dashboard
  • You can filter by assignee

A task can only have one assignee. For team work, create separate tasks or use the notes for coordination.

Timeline Views

List View

Simple list of all stages and tasks:

  • Expand/collapse stages
  • Quick status updates
  • Good for detailed review

Kanban View

Drag tasks between columns:

  • To Do → In Progress → Complete
  • Visual workflow management
  • Filter by stage or assignee

Gantt Chart

Timeline visualization:

  • See task dependencies
  • Identify scheduling conflicts
  • Track against milestones

Access Gantt view by clicking Timeline in the Stages tab.

Task Dependencies

Link tasks that depend on each other:

  1. Open task details
  2. Click Add Dependency
  3. Select the blocking task
  4. Choose dependency type:
    • Finish to Start - Can't start until other finishes
    • Start to Start - Must start together
    • Finish to Finish - Must finish together

Dependencies show as arrows in Gantt view.

⚠️

Watch for circular dependencies - Task A waiting on B, which waits on A. The system will warn you.

Progress Tracking

Stage Progress

Each stage shows:

  • Percentage complete (based on tasks)
  • Number of tasks by status
  • Days remaining until target date

Project Progress

Overall project progress calculated from:

  • Stage weights (if configured)
  • Task completion rates
  • Time elapsed vs. remaining

Daily Updates

Log progress updates:

  1. Click + Daily Log in any stage
  2. Enter what was accomplished
  3. Note any issues or delays
  4. Attach photos if needed

Templates

Stage Templates

Save time with pre-built stage structures:

  1. Create stages for a common project type
  2. Save as Template
  3. Reuse on future projects

Task Checklists

Create reusable task lists:

  • Standard punch list items
  • Inspection checklists
  • Safety walkthrough tasks

Team Collaboration

Comments

Add comments to tasks:

  • Update on progress
  • Ask questions
  • Share files

Team members are notified of new comments.

Mentions

Use @name to notify specific people:

  • "@john please review this"
  • Mentioned users get an alert
  • Great for handoffs

Activity Log

See all changes to stages and tasks:

  • Who made changes
  • When changes occurred
  • What was modified

Mobile Updates

Update task status from the field:

  • Mark tasks complete
  • Add photos and notes
  • Check daily schedule
  • Works offline (syncs later)
