Approval Queue
Manage quote approvals with margin visibility and team collaboration.
Overview
The Approval Queue gives managers and admins a single place to review pending quotes before they go to clients. See margins, request changes, and keep deals moving.
Who Can Approve

Accessing the Queue
Find pending quotes at:
- Quotes → Approval Queue tab
- Dashboard → Pending Approvals widget
- Notification bell when quotes need your review
Review Process
Step 1: Open a Quote
Click any quote in the queue to see:
- Full line item breakdown
- Cost vs. price comparison
- Margin percentage
- Notes from the creator
Step 2: Check the Margins
Each quote shows:

| Total Profit | Price - Cost in dollars |
Quotes below your company's minimum margin threshold are flagged automatically.
Step 3: Take Action
Choose one of these actions:
- Approve - Quote can be sent to client
- Reject - Quote is declined with reason
- Request Changes - Send back for revision
Adding Comments
Leave notes for your team:
- Why you approved/rejected
- Specific items to adjust
- Client context
Comments are visible to the quote creator and other reviewers.
Approval Thresholds
Set automatic routing based on quote value:

| $10,000 - $50,000 | Admin |
| Over $50,000 | Super Admin |
Configure thresholds in Settings → Company → Approval Rules.
Delegation
Going on vacation? Delegate your approval authority:
- Go to Settings → Approval Delegation
- Select a delegate
- Set date range
- Choose which quote types
Your delegate receives your pending approvals during that time.
Escalation
Quotes waiting too long get escalated:
- 24 hours - Reminder notification
- 48 hours - Escalate to next level
- 72 hours - Alert super admin
Adjust escalation timing in company settings.
Filtering the Queue
Narrow down quotes by:
- Status - Pending, approved, rejected
- Creator - Who made the quote
- Value Range - Filter by amount
- Margin Range - Find low-margin quotes
- Age - How long in queue
Bulk Actions
Speed up reviews:
- Check multiple quotes
- Click Bulk Actions
- Choose:
- Approve all selected
- Assign to reviewer
- Export for offline review
Notifications
Stay on top of approvals:
- Email - Daily digest of pending quotes
- Push - Instant alerts for high-value quotes
- In-App - Badge on navigation
Configure in Settings → Notifications.
Don't let quotes sit too long. Clients expect fast turnaround, and stale quotes can lose deals.
Mobile Review
Review quotes on the go:
- Open BuildVision mobile app
- Tap Approvals from home screen
- Swipe right to approve, left to request changes
- Tap for full details
Audit Trail
Every approval action is logged:
- Who approved/rejected
- When the action happened
- Comments and reasons
- Previous approval attempts
Access history from the quote detail page.
