Team Members

Add people to your projects and manage assignments.

Adding Team Members

Go to Team Tab

Open your project and click the Team tab.

Click Add Member

Click + Add Team Member button.

Select People

Choose from your organization's users:

  • Search by name or email
  • Select multiple people at once
  • Click Add to confirm

Can't find someone? They need to be invited to your BuildVision organization first. Go to SettingsTeam to invite new users.

Project Roles

When adding members, assign their project role:

RolePermissions
Project OwnerFull access, can delete project
Project ManagerFull access except delete
Team MemberView and edit assigned items
ViewerRead-only access

Changing Roles

  1. Click the member's name in the Team tab
  2. Select Change Role
  3. Choose new role
  4. Save changes

What Team Members Can Do

Project Managers

  • Create and edit stages/tasks
  • Upload documents
  • Create quotes
  • Manage change orders
  • Add other team members

Team Members

  • View project details
  • Complete assigned tasks
  • Add comments and updates
  • Upload files (if enabled)
  • Log time (if enabled)

Viewers

  • See all project information
  • Cannot edit anything
  • Good for clients or consultants

Assignment Workflow

Assigning Tasks

When a task is assigned:

  1. Member receives notification
  2. Task appears on their dashboard
  3. Shows in their "My Tasks" view
  4. Due date reminders are sent

Workload View

See who's doing what:

  • Go to Team tab → Workload
  • View tasks by team member
  • Identify over/under-allocated people
  • Balance work distribution

Notifications

Team members receive alerts for:

Managing Notifications

Each user controls their own notification preferences in account settings.

Removing Team Members

To remove someone from a project:

  1. Go to Team tab
  2. Click the ... menu next to their name
  3. Select Remove from Project
  4. Confirm removal
⚠️

Removing a member doesn't delete their past work. Tasks they created remain, but get unassigned if they were the assignee.

Subcontractors & External Users

Adding Subcontractors

For outside contractors:

  1. Invite them as users (limited role)
  2. Add to specific projects only
  3. Set as "Team Member" or "Viewer"
  4. They only see projects they're added to

Client Access

Give clients visibility:

  1. Invite as "Viewer" role
  2. Add to their project
  3. They see progress and documents
  4. Cannot edit anything

Activity Tracking

See what each team member has done:

  1. Go to Team tab
  2. Click a member's name
  3. View their Activity section
  4. See tasks completed, comments, uploads

Reports

Generate team activity reports:

  • Hours by team member
  • Tasks completed per person
  • Activity timeline
  • Export to CSV

Best Practices

Clear Assignments

  • One person per task
  • Specific due dates
  • Clear descriptions

Regular Updates

  • Encourage daily status updates
  • Use comments for questions
  • Check workload weekly

Permission Hygiene

  • Only add necessary people
  • Remove access when roles change
  • Review team list quarterly
